  1. 01

Invoice meaning & why the right invoice format matters

An invoice is a time-stamped commercial document that records a transaction between a buyer and a seller. A well-drafted invoice does three jobs at once: it acts as a request for payment, it becomes a legal record of the sale, and — for GST-registered businesses in India — it is the basis for claiming input tax credit. Whether you are a freelancer sending your first bill or a growing agency, using a clean, consistent invoice format makes you look professional and helps you get paid faster.

What every invoice must contain

  • A unique, sequential invoice number
  • Invoice date and payment due date
  • Your business name, address and GSTIN
  • Your customer’s billing name, address and GSTIN (if applicable)
  • An itemised list of goods or services with quantity, rate and amount
  • Applicable taxes (CGST + SGST or IGST) and the total tax amount
  • Grand total, amount paid and balance due
  • Signature (physical or digital) and terms of payment

e-Invoice vs tax invoice vs proforma invoice

An e-invoice is a GST tax invoice that has been electronically authenticated by the government e invoice portal (IRP). It receives an IRN (Invoice Reference Number) and a QR code, and the invoice data is reported to the GSTN in real time. A regular tax invoice is a printed or digital bill you issue after a sale — legally valid for GST claims but not necessarily reported to the IRP. A proforma invoice is a preliminary bill sent before the goods or services are delivered; it is used for quotations and to help the buyer arrange payment, but it is not a legal demand for payment.

When do I need to issue an e-invoice?

As of 1 August 2023, e-invoicing is mandatory for all GST-registered businesses in India with an aggregate turnover of ₹5 crore or more in any preceding financial year (from FY 2017-18 onwards). Even if your business is below the threshold, generating clean, standards-based invoices with tools like this one makes it painless to switch over later.

Tips to get paid faster

  1. Send the invoice on the same day you complete the work.
  2. Add clear, short payment terms (e.g. Net 15 or Due on receipt).
  3. Include a UPI QR code or bank details directly in the Notes section.
  4. Use a professional template — this generator’s Modern and Corporate designs work well for agencies.
  5. Follow up politely a day before the due date.
Frequently asked questions

Everything you wanted to know about invoicing

Is this invoice generator really free?

Yes — 100% free for unlimited invoices and unlimited PDF downloads. You only need to sign up if you want to save invoices to the cloud and access them from other devices.

Does it support GST and e-invoice format?

Yes. You can add your GSTIN in the “From” block, set the tax percentage (5/12/18/28%), and the PDF layout matches the e-invoice schema — customer details, itemised charges, tax breakup and totals.

Can I add my logo and digital signature?

Absolutely. Click “Add your logo” at the top of the invoice, and use the signature block to draw, type (in a real signature font) or upload a scanned signature. Uploaded signatures get a white background auto-removed.

Where are my invoices saved?

While you’re editing, everything is saved to your browser (localStorage) so you never lose progress on refresh. If you sign up, invoices are also saved securely to our MySQL database.

What is a proforma invoice?

A proforma invoice is a preliminary bill sent before the goods or services are delivered. It’s useful for quotations, advance payments and import/export declarations, but it isn’t a legal demand for payment.

Can I use this on mobile?

Yes. The generator is fully mobile-responsive — you can create and download invoices right from your phone.
